Job Opportunity - Team Administrator

Movin’ Out, Inc. is seeking a full-time multi-talented, and driven Team Administrator to join our team. This rock star holds it all together for our organization. The Team Administrator is responsible for supporting operations and leading special projects. She/he/they will take ownership of a broad range of administrative, HR, bookkeeping, and support functions at Movin’ Out. This role reports to the Executive Director and works out of our office located in Madison, WI.


  • Serve as administrator for basic HR issues, procedures, and benefits.
  • Provide program administrative support.
  • Support fund development activities, e.g. donor database, event planning, assisting with communications.
  • Manage employee on-boarding (and off-boarding) processes, including working with our vendors to ensure new employees have the hardware and software resources needed for their role.
  • Manage payroll service and process payroll.
  • Bookkeeping including accounts payable, accounts receivable, and various financial transactions and reports.
  • Manage facilities and office equipment and supplies, including working with our vendors.
  • Serve as executive assistant to executive director, e.g. scheduling and special projects.
  • Assist with board member communications, manage board meeting preparation and follow-up.
  • Planning and preparation for all-team monthly meetings and special events.
  • Other projects as assigned.


  • 3-5 years of administrative, HR, and bookkeeping experience.
  • Nonprofit experience preferred.
  • Experience administering benefits and payroll.
  • Experience with Microsoft Office Suite, G Suite/Google Apps, QuickBooks, and other web-based tools.
  • Strong ability to deliver consistently excellent service to both internal and external points of contact.
  • A high degree of accuracy and professionalism, and the ability to maintain confidentiality with HR, financial, and client information.
  • Excellent written and verbal communication skills, and the ability to partner effectively with employees across the organization.
  • Proactive self-starter with a growth mindset.
  • Extremely well organized.
  • Strong multi-tasking and time-management skills.
